Report 3: The cash flow statement

The cash flow statement tracks the actual movement of money in and out of your business. It's divided into three sections: operating activities (cash from day-to-day business), investing activities (cash spent on or received from assets), and financing activities (loans, repayments, and owner drawings).

This report bridges the gap between your profit and loss report and your bank balance. A business can be profitable on paper but still run out of cash if customers pay late, stock ties up money, or loan repayments drain the account faster than income arrives.

A sudden spike in the 60+ day column. One customer representing a large proportion of your total outstanding debt. Or a debtor days figure that keeps climbing month after month. Any of these signals should trigger immediate action on your credit control process.

Report 5: The aged creditors report

What it shows

The aged creditors report is the mirror image of the aged debtors report. It shows what your business owes to suppliers and how long each bill has been outstanding. The same aging bands apply: current, 1–30, 31–60, 61–90, and 90+ days.

This report tells you who you owe, how much, and whether you're paying on time. It's essential for managing supplier relationships and understanding your own payment habits.

Why it matters

Paying suppliers late might seem like a way to hold onto cash, but it has consequences. Suppliers may reduce credit terms, charge late fees, or stop supplying altogether. If you're a signatory to the Prompt Payment Code, you're expected to pay 95% of invoices within 60 days. Even if you're not, your reputation as a reliable payer affects the terms you'll be offered in the future.

What to look for

Check that the majority of your payables sit in the "current" or "1–30 days" columns. If you're consistently paying in the 60+ range, that could indicate cash flow stress or simply a lack of process. Calculate your creditor days: trade creditors divided by cost of sales, multiplied by 365. Compare this to your debtor days. If you're paying suppliers faster than customers are paying you, the gap is draining your cash.

Red flags

A growing balance in the 90+ column. Suppliers chasing you regularly. Or a creditor days figure that's much lower than your debtor days, meaning you're funding the gap between paying out and being paid. If creditors are being stretched because cash isn't available, the underlying cash flow needs fixing rather than just delaying payments further.

How to build a monthly review rhythm

Knowing which reports to review is the first step. Building a consistent habit is the second. Here's a practical approach that works for most small businesses without requiring hours of analysis.

Set a fixed date. Choose a day each month for your financial review. The first or second week of the month works well, once the previous month's transactions have been recorded and reconciled.
Start with the profit and loss report. Check revenue, gross margin, and net profit against the prior month and the same month last year. Note anything that's changed significantly.
Review the balance sheet next. Check your current ratio and quick ratio. Look at how debtors, creditors, and cash have moved. Ask whether the business is in a stronger or weaker position than last month.
